How to Choose GST Billing Software for Your Shop: 12-Point Checklist

The right billing software saves hours every week and stops costly mistakes in tax and stock. The wrong one slows down your counter and is soon abandoned. Use this checklist before you decide.

1. Correct GST invoices

The bill must show your GSTIN, invoice number and date, the customer's GSTIN for B2B sales, HSN / SAC codes, taxable value, and CGST + SGST or IGST correctly. Check a few sample bills – inside your state and to another state. See GST invoice format rules.

2. Speed at the counter

Ask for a demo and time a bill with five items: search or scan, quantity, payment, print. A good POS does it in seconds and lets you hold one bill while you serve another customer.

3. Barcode and printer support

Make sure your barcode scanner, thermal printer (58 mm or 80 mm) and A4 printer work, and that you can print barcode labels for items without one.

4. Stock that updates itself

Every sale, purchase, return and transfer should change stock automatically. Look for low-stock alerts, lot and expiry tracking (for FMCG and pharmacy) and serial numbers (for electronics).

5. More than one shop or godown

Even if you have one shop today, choose software that can add a branch or godown later with stock transfers between them.

6. Reports you will actually use

Profit and loss, GST reports, stock value, item-wise sales, staff-wise sales and customer dues are the basics.

7. Staff permissions

Cashiers should not see your purchase prices or delete bills. Check that you can set roles and that every edit is logged.

8. Cloud or desktop

Cloud software runs in a browser, keeps your data safe if a computer breaks, and lets you check your shop from your phone. Read cloud vs desktop billing software.

9. Works on mobile

Owners want to see today's sales from anywhere; some shops bill from a tablet. Make sure it works well on a phone screen.

10. Easy data import

Ask whether products, customers and opening stock can be imported from Excel. Typing them one by one can take weeks.

11. Local support

You will have questions in the first weeks. Phone and WhatsApp support from a team that understands Indian shops makes a big difference.

12. Honest pricing and a free trial

Check what the plan includes – number of users, locations, products and invoices – and try the software free with your own products before you pay. See Namma Billing pricing.
